Adding Teams to Projects
Please note: Only users with permission to edit projects can add or manage teams within a project. Teams assigned to projects are visible to anyone with access to the full Schedule or the Projects & Clients section.
Managing all the people involved in your projects has never been easier.
Assign team members to projects to provide greater clarity on who's involved—whether it’s for a short-term task or the entire project duration. Keep your team members informed about the projects they’re contributing to and their role in the bigger picture.
How to add Teams to a Project
Head to the Projects & Clients section.
Select an existing project or create a new one.
Within the project, you’ll see the Teams tab.
Click Assign to Team, and select the relevant team members from the dropdown menu.
Once added, the team will be listed in the project details.
There are several other places to open existing projects and add team members on the fly, such as through the booking form, the grouped view in the Schedule, or within Timesheets.
Viewing Teams in the Schedule in Group by Project View
Once a team is added to a project, the Schedule will reflect this assignment when grouping the Schedule by project, making it easy to see the team’s involvement in one place. Hidden team members (here shown in grey) won't be shown in the grouped view.
Removing or Hiding People from Project Teams
If changes are needed, you can remove team members from projects at any time:
Open the relevant project in the Projects & Clients section.
Go to the Teams tab.
Edit the team details by clicking Hide or Remove if needed.
Hidden team members will be greyed out, allowing you to unhide them at any time if their status changes or they rejoin the project. This feature is particularly useful for cases where a team member is temporarily unavailable or no longer actively contributing, but their historical involvement in the project needs to be preserved.
Hidden team members will not appear in the grouped view in the Schedule or in the team overview within the Projects & Clients section.
Please note: It’s not possible to remove a team member from a project if they have existing bookings associated with that project, but you'll be given the option to hide them instead. Additionally, if you mark someone as non-bookable but they have previously been booked on a project where they are a team member, they will still appear in the team overview within the Projects & Clients section.
