Navigating reports with Timesheets enabled
Please note: only users with permission to view Reports will see actual logged hours in reports.
When Timesheets are enabled, your reports provide even greater insight into how time is being tracked, scheduled, and utilized. You’ll see a comparison of scheduled hours vs. actual hours logged, helping you measure the accuracy of your planning and identify any discrepancies.
With Timesheets enabled, your reports will show two sections:
Scheduled: The total number of hours your team was scheduled for.
Actuals: The total number of hours your team logged through Timesheets.
Scheduled vs. Actual Hours
Both Scheduled Utilization and Actual Utilization are displayed:
Scheduled Utilization shows the percentage of time people and resources were allocated based on their availability for the selected time period.
Actual Utilization reflects the percentage of time your team logged their hours via Timesheets.
Billable vs. Non-Billable time
If you track billable time, you’ll also see:
Billable Utilization: Both scheduled and actual percentages for time logged as billable.
A breakdown of billable and non-billable hours.
Why do discrepancies occur in scheduled vs. actuals?
In timesheet reports, discrepancies between scheduled time and actual logged time can arise due to the inclusion of resources that cannot log time. Scheduled time might include:
Other Resources: Resources such as vehicles, meeting rooms, or equipment that are scheduled but cannot log time entries.
Non-Invited People: Individuals included in the schedule but not invited to the platform (eg. placeholders), meaning they cannot log time.
To reduce discrepancies and ensure a more accurate comparison between scheduled and logged time:
Filter Your Report: Use filters to exclude other resources.
Invite All Team Members: Make sure all team members are invited to the platform so they can log their time. Alternatively, filter out those who cannot log time to avoid discrepancies.
