Bulk Import Your Team Into Your Account

Please note: You need to have administrator permissions to add/import people in bulk. Contact an administrator in your account if you need increased permissions.

If you want to save time and add your team to your account in one go, our bulk import is available on all our plans! 

You can bulk import most information with the exceptions of:

  • Color - imported people will be assigned colors at random.

  • Photos - you can add photos after import, or those team members who are invited can do this themselves.

  • Custom Availability - imported people will inherit the accounts Default Availability, so be sure to set that up before import. You can edit individual availability later. 

  • Custom Permissions - You can customize people’s permissions after import. 

  • Custom field creation - new custom fields cannot be created as part of bulk importing. Make sure to add these to your account before downloading your import template.

How to Bulk Import People

Select Bulk Import from the dropdown menu.

You’ll find a download link to download an import template that’s unique to your account and includes any custom fields you have already set up in your account.


Complete Your Import Template

Below is some guidance and information on completing your import template to avoid import errors.

Important: do not amend column headers in the spreadsheet as this will cause import errors.

  • Custom fields

    • create any custom fields in your account before downloading your template.

    • if you add values that do not currently exist in your account they will be automatically created upon import.

    • for multi-select custom fields separate items with a semi-colon (;) e.g. Javscript; CSS; HTML

  • Permissions level

    • Must be one of: Administrator, Manager, Basic User.

  • Timezone

    • If the timezone field is left blank it will be inherited from the account owners timezone.

    • Please use a city from the following timezone list, only enter the city e.g. for Arizona, (GMT-7) you would enter Arizona.


Upload Your File

Once completed you can save and upload your file by dragging and dropping it into the importer or using the Select File button. The uploader will accept the majority of available formats (e.g. .xlsx, .xls, .csv, .tsv, .ods).

If any errors occur during the upload, a list of issues will be displayed and you can either address them directly in the interface or in your import file, which you can then re-upload.

Clicking View will show you the full record for context.

Once any errors have been addressed, you’ll see confirmation of the number of people that will be added in your account, and have an opportunity to review the data before confirming the import.
