Bulk Import Your Projects and Clients
Please note: You need to have administrator permissions to add/import people in bulk. Contact an administrator in your account if you need increased permissions.
If you want to save time and add your projects to your account in one go, our bulk import is available on all our plans!
You can also update existing records, any projects/clients that match an existing one by the Name field will be updated instead of created. Blank values in the import will not remove existing data from records when updating.
Bulk import most information with the exceptions of:
Color - imported projects and clients will be assigned colors at random
Custom field creation - new custom fields cannot be created as part of bulk importing. Make sure to add these to your account before downloading your import template.
How to Bulk Import Projects and Clients
Click on the three dots next to the Activity Types button > Bulk Import.
You’ll find a download link to download an import template that’s unique to your account and includes any custom fields you have set up.
Complete Your Import Template
Below is some guidance and information on completing your import template to avoid import errors.
Important: do not amend column headers in the spreadsheet as this will cause import errors.
Client
If the supplied value matches an existing client in the system, the project will be assigned to that client.
If the supplied value does not match an existing client in the system, the client will be created and the project will be assigned to it.
Custom fields
create any custom fields in your account before exporting your template.
if you add values that do not currently exist in your account they will be automatically created upon import.
for multi-select custom fields separate items with a semi-colon (;) e.g. Javscript; CSS; HTML.
Upload Your File
Once completed you can save or export your file ready for upload. The uploader will accept the majority of available formats (e.g. .xlsx, .xls, .csv, .tsv, .ods).
Then upload it by dragging and dropping it into the importer or using the Select File button.
If any errors occur during the upload, a list of issues will be displayed and you can either address them directly in the interface or in your import file, which you can then re-upload.
Clicking View will show you the full record for context.
Once any errors have been addressed, you’ll see confirmation of the number of projects or clients that will be added in your account, and have an opportunity to review the data before confirming the import.
