Using the Availability Bar

Our unique Availability Bar shows you how much free time each person and resource has along with any Overtime or bookings on the Waiting List. You can see at a glance who’s free, who’s fully booked and who’s overbooked. It’s also an easy way to create availability exceptions - one-off changes to a person's availability, e.g. when someone’s going to be available for work on a weekend.

You can hide or display the Availability Bar by using the toggle button shown above. Your preference will be remembered the next time you login.

Hovering over any day triggers a tooltip displaying a summary of free and booked time, overtime and any bookings on the Waiting List. This tooltip is displayed even if you’ve hidden the Availability Bar.

To see more detailed information on the availability for a specific date just click on the Availability Bar on the relevant date. You will then see a breakdown of the availability along with free time, booked time and overtime. You will also see a button to edit the availability and create availability exceptions.


Guru Tip

When you add time off, you will notice that it subtracts from any existing availability. For example, if someone is available from 9am to 5pm and you add a personal vacation for the whole day, the availability will be reduced to zero. This is different to bookings which actually occupy availability. This is an important distinction for reporting and utilization purposes. Please note that, if time off/downtime is deleted or moved, the previous availability will be restored.
